This Privacy Policy applies when you use:
- the Vubli iPhone application;
- Vubli’s web application and dashboard;
- vubli.ai, new.vubli.ai, and associated websites and subdomains;
- Vubli’s recording, editing, artificial intelligence, storage, scheduling, and publishing features;
- connected social media, video, professional-network, and storage destinations; and
- related support, billing, migration, and administrative services.
These products and services are collectively called the “Services”.
2. Summary
Vubli helps users record or import content, edit and caption it, prepare titles and social media copy, store projects, and publish or schedule content across supported destinations.
Depending on the features you use, Vubli may process your account information, videos, audio, images, transcripts, captions, publishing settings, connected-account information, and subscription information.
We do not sell your personal information.
The Vubli iOS app does not use your information to track you across other companies’ apps or websites for targeted advertising. Some website technologies may use cookies or similar technologies for authentication, security, website measurement, and affiliate or referral attribution, as explained below.
3. Personal information we collect
The information we collect depends on which parts of Vubli you use.
3.1 Account and profile information
We may collect:
- your name, display name, email address, and profile photograph;
- Vubli user and account identifiers;
- brand names, logos, settings, roles, and access permissions;
- your sign-in provider and authentication status;
- multi-factor authentication status; and
- account creation, login, update, and deletion dates.
Authentication may be provided through Firebase Authentication, Sign in with Apple, Google Sign-In, or email sign-in links. We do not receive or store your Apple or Google account password. Authentication providers process authentication credentials under their own privacy policies.
3.2 Videos, audio, images, and other user content
We may process content you create, import, upload, or enter, including:
- recorded or imported video and audio;
- photographs, thumbnails, profile images, and brand logos;
- video titles, descriptions, transcripts, subtitles, and caption text;
- social media captions and platform-specific post text;
- hook ideas, prompts, instructions, and other AI inputs;
- scheduled publishing dates and destination choices;
- editing selections, project settings, and content preferences;
- uploaded files and generated media derivatives;
- publishing results, platform post identifiers, and error information; and
- support information you provide about a project or post.
Your content may contain personal information about you or other people. You are responsible for ensuring that you have any permissions required to record, upload, process, or publish that content.
3.3 Connected destinations
If you connect a supported external account, such as YouTube, Instagram, Facebook, TikTok, LinkedIn, X, or Dropbox, we may receive and store:
- the provider and connected-account type;
- account, page, channel, or organisation names and identifiers;
- usernames, profile images, and resources you are authorised to manage;
- permissions and OAuth scopes granted to Vubli;
- encrypted access and refresh tokens, expiry dates, and connection status;
- publishing preferences and platform defaults;
- external post identifiers and publishing status; and
- available post-performance information, analytics, and provider errors.
We use this information to display available destinations, maintain the connection, publish or schedule content at your request, retrieve publishing results, and show supported post-performance information.
3.4 Subscription and billing information
When you purchase or manage a subscription, we may receive:
- your selected plan, billing interval, and subscription status;
- renewal, cancellation, expiry, and entitlement information;
- Stripe customer, checkout, price, and subscription identifiers;
- Apple App Store product, transaction, and subscription identifiers;
- discount, promotional, affiliate, or referral information; and
- limited billing-related account information.
Payments made through the web are processed by Stripe. Purchases made in the iOS app are processed by Apple. Vubli does not receive or store your complete payment-card number when payment information is entered directly with Stripe or Apple.
3.5 Communications and preferences
We may collect:
- support requests, correspondence, feedback, and survey responses;
- email notification preferences and records of service emails;
- marketing consent and unsubscribe status; and
- information needed to investigate failed uploads, publishing errors, or account issues.
3.6 Technical and usage information
When you use our Services, we and our infrastructure providers may process:
- IP address, browser type, device information, operating system, and app version;
- requested pages, API endpoints, access dates, and referring pages;
- authentication, session, request, and referral identifiers;
- upload, processing, and publishing status;
- server, security, error, and diagnostic logs; and
- information used to prevent fraud, abuse, and unauthorised access.
We may aggregate or de-identify information to understand service reliability, capacity, and feature use. We do not attempt to re-identify information that has been properly de-identified.
4. Device permissions and on-device processing
The Vubli iOS app may request access to:
- Camera, so you can record video;
- Microphone, so you can record audio with your video;
- Photos, so you can select a video or image to import;
- Add to Photos, when you ask Vubli to save a finished video; and
- Speech Recognition, so Vubli can generate editable subtitles.
Vubli only accesses these capabilities after you interact with the relevant feature and grant permission through iOS. You can manage permissions in your iPhone settings.
For editor subtitle generation, Vubli is designed to request on-device speech recognition where supported. Audio used for that on-device recognition is not uploaded merely because you generate editor subtitles. The resulting transcript or subtitle data may later be uploaded if you save, prepare, upload, or publish the associated project.
Separate server-based transcription or AI workflows may send audio extracted from an uploaded video to our AI service provider when a transcript is unavailable or when you invoke a feature that requires server processing.
Some projects, preferences, and media may remain locally on your device until you upload them, delete them, or remove the app. Content stored only on your device is also subject to your device and backup settings.
5. How we collect information
We collect personal information:
- directly from you when you create an account, update your profile, create or upload content, contact us, or manage a subscription;
- automatically when your app or browser communicates with our Services;
- from Apple, Google, or Firebase when you authenticate;
- from Stripe or Apple when you purchase or manage a subscription;
- from connected destinations after you authorise Vubli;
- from another authorised brand member or administrator;
- from legacy Vubli systems when you request or authorise a migration; and
- from referral or affiliate services when you follow a tracked referral link.
If you do not provide information required for a feature, we may be unable to provide that feature.
6. How we use personal information
We may use personal information to:
- create, authenticate, and manage your account, profile, and brands;
- record, import, edit, caption, prepare, store, upload, and process content;
- generate transcripts, titles, captions, hooks, and other AI-assisted material;
- connect and maintain authorised destination accounts;
- publish or schedule content at your direction;
- retrieve publishing results and supported platform analytics;
- synchronise projects, posts, settings, and connections across devices;
- process subscriptions and enforce storage, publishing, and brand allowances;
- send login links, service notifications, and publishing-status emails;
- provide support and investigate errors;
- migrate authorised content from legacy Vubli services;
- maintain safety, integrity, security, and service reliability;
- prevent fraud, spam, misuse, and unauthorised access;
- send marketing communications where permitted;
- comply with legal obligations and enforce our agreements; and
- protect the rights, safety, and property of Vubli, our users, and others.
7. Artificial intelligence and transcription
Vubli offers optional AI-assisted features, including title generation, caption generation, platform-specific copy, video-hook suggestions, and server-based transcription.
When you use these features, we may send relevant information to OpenAI through its business API, including:
- transcripts or audio extracted from an uploaded video;
- titles, descriptions, and post text;
- your prompts or instructions;
- selected audience, tone, content, or platform settings; and
- contextual information you provide for the requested output.
We limit the information sent to what is reasonably required to perform the selected feature.
OpenAI states that inputs and outputs submitted through its API are not used to train its models by default unless the API customer expressly opts in. OpenAI may retain API data for limited periods for abuse monitoring, security, legal compliance, and service operation under its applicable terms and data controls.

AI-generated material may be inaccurate, incomplete, or unsuitable. You should review generated content before using or publishing it. Vubli does not use AI to make decisions about you that produce legal or similarly significant effects.
8. Connected accounts and social publishing
Connecting an external account is optional.
When you connect a destination, you authorise Vubli to access the account information and permissions shown by that provider. Vubli stores connection tokens so it can perform actions you request, including publishing, scheduling, retrieving account resources, and checking publishing results. Connection tokens are protected using encryption and access controls.
You can disconnect a destination from Vubli’s Connections area. You may also revoke Vubli directly through the external provider’s security or connected-app settings.
Disconnecting Vubli:
- does not delete content already published to the external service;
- does not necessarily cancel content already submitted to that service; and
- does not delete information independently retained by that provider.
Each external provider handles information under its own terms and privacy policy.
9. When we disclose personal information
9.1 Service providers
We use providers that help us operate Vubli, including:
- Google Cloud and Firebase for authentication, databases, cloud storage, hosting, backend processing, task queues, and encryption-key management;
- Apple for Sign in with Apple, App Store distribution, and in-app subscriptions;
- Google for Google Sign-In and YouTube connectivity;
- OpenAI for selected AI and transcription features;
- Stripe for web subscriptions and billing;
- Twilio SendGrid for transactional, operational, and support emails;
- Kit for marketing communications where marketing consent has been provided;
- Rewardful for affiliate and referral attribution;
- Cloudflare, WordPress, and related providers for website delivery, security, and content management;
- Google reCAPTCHA and Google Tag Manager for website security and tag management; and
- connected publishing and storage providers selected by you.
These providers may process personal information only to the extent required to supply their services, subject to their contracts, privacy policies, and applicable law.
9.2 Brand access and authorised administrators
Information stored in a brand may be available to people authorised to access that brand. Authorised Vubli personnel may access account or brand information when reasonably required to provide support, investigate problems, maintain security, perform an authorised migration, or act on behalf of a customer. Administrative or delegated access may be logged.
9.3 Business and legal circumstances
We may disclose information:
- when required or authorised by law, regulation, court order, or lawful government request;
- to investigate suspected fraud, security incidents, or violations of our agreements;
- to protect the rights, safety, or property of Vubli, our users, or others;
- to professional advisers, insurers, or auditors under appropriate confidentiality obligations; or
- in connection with a merger, acquisition, financing, reorganisation, or sale of all or part of our business.
We do not sell personal information or share it for cross-context behavioural advertising.
10. Overseas processing
Vubli is operated from Australia, but many providers used to deliver the Services operate internationally. Personal information is likely to be disclosed to or processed in the United States, including through Firebase Authentication, Google Cloud, OpenAI, Stripe, and other technology providers.
Information may also be processed in Australia and other countries where our service providers, connected destinations, or their subprocessors maintain facilities. Our core backend currently uses Google Cloud infrastructure configured in the United States. Firebase and other Google services may also process information through global infrastructure, depending on the service.
Where required, we take reasonable steps to use providers and arrangements that protect personal information consistently with applicable privacy law. Privacy and data-protection laws in another country may differ from those in Australia.
11. Storage, retention, and deletion
We retain personal information only for as long as reasonably necessary to provide the Services, maintain security, resolve disputes, and meet legal, accounting, and tax obligations.
In general:
- account and brand information is retained while your account remains active;
- uploaded media, transcripts, captions, post records, and destination settings are retained until you delete the relevant post, brand, or account, subject to technical and legal limitations;
- connection tokens are retained while the destination remains connected or until they expire or are deleted;
- subscription records may be retained for billing, tax, fraud-prevention, and financial-reporting purposes;
- operational logs, security records, and backups may remain for a limited period after deletion;
- marketing information is retained until you unsubscribe or request deletion, subject to suppression records needed to honour that request; and
- legacy content is retained after migration under the same general rules as current Vubli content.
You can delete individual posts from Vubli. The deletion process is designed to remove the associated post record and Vubli-controlled stored media and derivative files.
You can delete your Vubli account using the Delete Account option in the app or by contacting support@vubli.ai. Account deletion is designed to remove your Firebase authentication account, Vubli account and brand records, stored posts, connected-destination credentials, and Vubli-controlled uploaded media.
Deleting your Vubli account does not delete content already published to third-party platforms. You must manage that content through the relevant platform.
After account deletion, we may retain:
- limited records necessary to document and enforce the deletion, prevent unintended reactivation, detect abuse, or comply with legal requirements;
- transaction, subscription, and tax records we are legally required to keep;
- administrative audit records necessary for security or accountability; and
- information remaining temporarily in backups or provider systems until normal deletion cycles complete.
A limited deletion record may include your email address, account identifier, sign-in provider, and deletion date. We may retain aggregated or properly de-identified information that no longer identifies you.
12. Security
We use reasonable technical and organisational safeguards designed to protect personal information, including:
- authenticated access and brand-level access controls;
- encrypted network connections and provider-supported encryption at rest;
- encryption of connected-account credentials;
- managed secret and encryption-key services;
- restricted administrative access;
- validation of uploaded files and requests;
- security logging and monitoring; and
- account, post, brand, and connection deletion controls.
No internet transmission or electronic-storage system is completely secure. We cannot guarantee absolute security.
If a data breach occurs, we will investigate and respond in accordance with applicable law. Where the Australian Notifiable Data Breaches scheme applies, this may include notifying the Office of the Australian Information Commissioner and affected individuals when an eligible data breach is likely to result in serious harm.
13. Website cookies and similar technologies
Our websites and web application may use cookies, local storage, scripts, and similar technologies for:
- authentication and maintaining sessions;
- remembering settings and preferences;
- website security and fraud prevention;
- referral and affiliate attribution;
- measuring website use and performance; and
- operating forms, embedded content, and connected services.
Technologies and providers may include WordPress, Cloudflare, Firebase, Google Tag Manager, Google reCAPTCHA, and Rewardful. Some tags or integrations may set their own cookies. Where legally required, we will request consent before using non-essential cookies or similar technologies.
You can control cookies through your browser settings and, where available, our cookie controls. Blocking essential cookies may prevent parts of the Services from working correctly. The Vubli iOS app does not use advertising identifiers or track users across unrelated apps and websites for targeted advertising.
14. Marketing and service communications
Where you provide marketing consent, we may send product updates, educational content, offers, and other marketing communications. You can unsubscribe using the link in an email or by contacting support@vubli.ai.
Unsubscribing from marketing does not stop essential communications such as login links, billing notices, security alerts, account messages, or requested publishing-status notifications. Marketing email and consent information may be processed through Kit.
15. Access, correction, and privacy rights
Depending on where you live, you may have rights to:
- request access to personal information we hold about you;
- request correction of inaccurate, incomplete, or outdated information;
- request deletion of personal information;
- obtain a portable copy of certain information;
- object to or request restriction of certain processing;
- withdraw consent where processing depends on consent; and
- lodge a complaint with a privacy regulator.
You can update some information through your Vubli profile or account settings. To exercise a privacy right, contact the Privacy Officer at support@vubli.ai. We may need to verify your identity before completing a request.
Some rights are subject to exceptions under applicable law. If we cannot fulfil a request, we will explain the reason where required and tell you about available complaint options. We will not discriminate against you for exercising an applicable privacy right.
For users in the European Economic Area or United Kingdom, our legal bases for processing may include:
- performing our contract with you;
- your consent;
- our legitimate interests in operating, securing, and improving the Services; and
- compliance with legal obligations.
16. Complaints
If you believe we have mishandled your personal information, contact the Privacy Officer at support@vubli.ai or write to Level 2, 89 McLachlan Street, Fortitude Valley QLD 4006, Australia.
Please describe the issue and provide enough information for us to investigate it. We will acknowledge and investigate your complaint and aim to respond within a reasonable period.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner on 1300 363 992. You may also have the right to contact a privacy regulator in your country or region.
17. Children
Vubli is not directed to children under 13, and we do not knowingly allow children under 13 to create an account. If the law where you live requires a higher minimum age to use the Services without parental consent, that higher age applies.
If you believe a child has provided personal information to Vubli contrary to this section, contact support@vubli.ai so we can investigate and take appropriate action.
18. Third-party services and links
The Services may contain links to or integrations with third-party websites, applications, and platforms. This Privacy Policy does not govern information a third party collects independently under its own terms and privacy policy. You should review the privacy settings and policies of any service you connect to Vubli.
19. Changes to this Privacy Policy
We may update this Privacy Policy when our Services, providers, or legal obligations change. The current version will be published at new.vubli.ai/privacy.
We will update the effective date when the policy changes. If a change is material, we may also provide notice through the app, website, or email.
